With WebDAV you can mount the Group-Office files as a network share on your desktop. First you must determine the baseURI.

Ideally your Apache webserver is configured with an alias

Alias /webdav /path/to/groupoffice/modules/dav/files.php

In this case your baseURI is:

https://your.url.to.groupoffice/webdav/

Otherwise the URL will not work on Windows and it’s:

https://your.url.to.groupoffice/modules/dav/files.php/

The WebDAV feature is based on SabreDAV. You can find more information about clients on that page too.

The file manager isn’t just located in a module tab just like all the other modules, it’s also available in many other modules so you can store files at contacts, companies, projects, events etc.

Sharing folders

With the file manager you can easily share folders with other users. If you look at the tree structure you’ll see:

Personal files
Your home directory with all the files and folders owned by you.

Shared
lists all the users that share folders with you. Please be aware that the shared folder is read only. You can’t delete or create files directly under the shared folder. It just lists shared folders.

Projects
Access project files

Contacts
Access contact files

Companies
Access company files

To share a folder, right click on a folder in your personal files area and click at “Properties”. Then check the “Activate sharing” option and go to the “Permissions” tab to add users and groups.

Note: If you want to create a folder that is accessible for everyone it’s best to create folder under the Administrator’s personal files called “Shared” for example and share that folder with group “Everyone”.

Notifications

In the folder properties screen you can enable notifications. You will receive an e-mail when someone uploads or deletes a file to this folder if you enable this. To open the folder properties dialog right click on any folder in the file manager.

Uploading files

There are two ways to upload files. The “Small upload” option allows you to select one file at a time and is suitable for files up to 10MB (This differs per server configuration. The Default maximum on servers is actually 2MB but it can easily be raised to 10MB by your system administrator).

The “Big upload” option requires Java. It launches a new screen where you can upload complete folders and select multiple files.

Note: If you use Linux and the browser hangs please have a look at this page: https://bugs.launchpad.net/ubuntu/+source/sun-java6/+bug/288397

Editing files locally with the Group-Office Transfer Agent

If the Group-Office transfer agent is enabled you can easily edit documents locally. If you click on a text document for example, it will download the file and launch your text editor. When the file is edited it will automatically be sent back to Group-Office.

This feature is works on all operating systems including:

Windows

Mac

Linux

Java is required. If you don’t have it already you can get it free from http://java.com

Configuring GOTA on Ubuntu

Make sure you use the Sun JRE and NOT OpenJDK. Open Synaptic package manager and make sure sun-java6-jre is installed. This will also install the plugin for Firefox. When opening the file in Firefox make sure Firefox opens the jnlp.php file with Java webstart. It is located in /usr/lib/jvm/java-6-sun/bin/javaws.

You can also change this preference in firefox at Edit -> Preferences -> Applications. Search for JNLP or application/x-java-jnlp-file. Select “Open with Sun java webstart” or browse to the javaws executable manually.

Configuring GOTA on Mac OS X

Make sure Java is installed. The Mac fails to open JNLP files automatically with Java Webstart, so when the browser asks you what to do with jnlp.php choose “Open with”->Other program and browse to:

System/Library/CoreServices/Java Web Start

File templates

In the “New” menu from the main screen you can select “Manage templates” as administrator. Here you can add any file to use as templates for a new file. You can upload text documents with your company logo and signature in it or spreadsheet documents there for example. You can select those templates from the “New” menu and with the Group-Office Transfer Agent installed you can instantly edit those documents and save them online.

Setting it up

First you must make a decision about how users will report tickets. You can have the following scenarios:

Customers don’t have access and only ticket agents will enter tickets

Customers will go to the external page at http://your.domain/modules/tickets/extern/createticket.php

Customers will logon to Group-Office and only have read access to the tickets module (Recommended).

We recommend that users logon to Group-Office because then they have the rich and user friendly Group-Office interface to post and view their tickets.

Defining types

Ticket types categorize the tickets. For example you could define Sales, Printer problems, Server problems etc. You can define ticket types at:

Administration -> Types

Per ticket type you can enable the option to send an e-mail to the ticket agents that have access to this type when a new ticket is created by a customer.

E-mail templates

In the administration window you can set various e-mail templates that are sent to customers when they create a new ticket.

Module permissions

Only a member of the “Admins” user group can administrate this module. Users who have manage permissions can respond to, delegate and close tickets. Users with only “Use” permissions on the module can create tickets and view their own tickets only.

Introduction

Group-Office supports two synchronization protocols. It supports Microsoft ActiveSync and SyncML. To use ActiveSync z-push must be installed. Read modules/sync/z-push/INSTALL.TXT for installation instructions. When z-push is installed at the server, phones can be configured to use ActiveSync very easily. To test if your server is setup with ActiveSync support you can enter:

http://your.url.com/Microsoft-Server-ActiveSync

Note: this is not the Server or host URL you must configure on your device. On the device you have to use the bold part of the URL.

If it’s working you should get a Z-push browser authentication dialog which you should simply cancel.

Group-Office can synchronize the following items:

Appointments

Tasks

Contacts

Notes (SyncML only)

E-mail (ActiveSync only, E-mail can be configured with IMAP when using SyncML clients)

Client or device setup

Group-Office can synchronize with the following clients or devices.
In general you need the to enter the following info:

Outlook

Gnome Evolution

Mobile devices with ActiveSync support
Use your Group-Office username, password and the bold part of the Group-Office URL: http://your.url.to.groupoffice/groupoffice/. The domain field can be left empty or enter anything.

iPhone

Nokia Mail for Exchange

Windows Mobile

Palm

Google Android

Synthesis SyncML clients

Windows Mobile/Pocket PC

Palm OS

iPhone

Symbian SyncML client on Nokia, Sony Ericsson and others

Blackberry

Thunderbird 3

Other phones that support ActiveSync or SyncML (Try the instructions for the Synthesis clients).

Group-Office synchronization settings

When you click the “Settings” button on the top right you’ll find a synchronization tab in the settings window. Here you can control the addressbooks, tasklists and calendar to synchronize with. You can also enable the automatic deletion of events and tasks that are older then a configurable number of days. With this setting enabled all old events will be deleted from your phone but not from Group-Office. This way your phone stays clean and fast.

Deleting synchronization devices

In general you should never delete a device. It’s only useful when you want to start over with a clean phone. So when you hard reset the device and reformat everything you should delete the device in Group-Office too so all information is gone there too.

When you delete it on Group-Office and don’t reset the device you will get double entries because Group-Office does not know the relations anymore and it will resend all items to the phone.

CalDAV calendar server

As an alternative to synchronization you can also connect with other client software like Thunderbird, Evolution or Apple iCal. This is ideal if you want to have multiple Group-Office calendars in your client software.

Collaborative calendering is very easy with Group-Office. You have a very intuitive web interface with different views and you can invite participants.

Configuring the calendar

The calendar should work well for most people out of the box but there are a couple of things you can configure.

General settings

At Settings -> Calendar you can setup:

The default calendar
In case you have multiple calendars this calendar will be used to schedule events in when people use the “add appointment directly to calendars” option when inviting participants (see below). It will also open first when you launch the calendar.

Default reminder
If you set a default reminder here every event you schedule will have a reminder

Default background color
Select a different default background color for your events.

Settings per calendar

At Calendar -> Administration -> Double-click calendar you can setup:

Show birthdays from the address-book
All contacts with a birthday set in the address-book will show up in the calendar and summary page

Show tasks from task-lists
You can select the task-lists you want to see in the calendar view too.

Sharing calendars

By default, all calendars are writable for the user group “Internal”. All users are in that group by default as well. So, by default, all users can write to each others calendars.

If you want to edit the calendar permissions to share a calendar you must go to:

Calendar -> Settings -> Double click calendar -> Write / Read permissions

Here you can add the users and user groups you want to grant access.

Views or group calendars

With views you can view multiple calendars in one page. By default there is a view created that contains the first 15 calendars created in Group-Office. You can add and remove views at:

Calendar -> Settings -> Views

You can also edit them here to add and remove calendars from views.

Schedule an event

To schedule an event go to:

Start menu -> Calendar

At the left you see a list of all calendars you have access to. Select the calendar you want to schedule the appointment in. Browse to the right date and click and drag the appointment into the grid. The edit appointment dialog pops up where you can enter the details. Only the subject field is mandatory.

Private events

At the “Other options” tab you can mark the event as private. If you do this all other users who can access your calendar will only see this event with the name “Private”.

Inviting participants

You can also invite participants to the appointment. Click at the “Participants” tab to add participants. You can add users or contacts. When you add a system user Group-Office can determine if the schedule of this user is free. You can click at the “Check availability” screen to find a free time.

When you add participants Group-Office will ask if you would like to send an invitation. With the invitation Group-Office users and external users can add the appointment to their calendar system. When you change the appointment later on they can update their calendars too.

Add appointment directly to the calendars

If you tick this box the appointment will be saved directly to the all the user calendars if you have write permission to their calendars.

Resources

It’s possible to create resources in Group-Office to manage meeting rooms or company cars for example. The resources are organized in groups and have can have administrators per group. Administrators must check and approve resource bookings. The resources are part of the calendar module and also work together with custom fields.

Resource administration

For resource administration this option you need manage permissions for the calendar module.

Creating resource groups

To open the resource group management go to:

Calendar -> Administration -> Resource groups -> Add

Enter a name for the group and click at “Apply”. You can also select the custom field categories you want to use with this type of resource. For meeting rooms you might want to create a category with a check-box for lunch, a beamer or a text-field for the number of persons.

After hitting apply the “Administrators” tab is enabled. It’s required to add at least one administrator to the group. A group administrator must check and approve a booking. Administrators will automatically have write permissions for the resources in this group.

Creating resources

After you setup a resource group you can add resources. Go to:

Calendar -> Administration -> Resources -> Add

Enter a name and click on “Apply”. The permissions tab is now enabled.

Important
Give users that need to book this resource read permission. They don’t need write permissions. If you give them write permissions they will be able to accept their own bookings and that’s probably not what you want.

After at least one resource is created the “Resources” panel in the calendar navigation on the left is available. New bookings are shown in red, accepted bookings turn green:

Booking a resource

When you have access to a resource you can book them from the new event dialog in the calendar. Go to:

Calendar -> Add -> Resources.

Select the resource(s) you want to use with your event (The lunch, beamer and persons input fields are custom fields in this example):

Search

There’s a search input field at the top right of the screen. When you search for a keyword there Group-Office will search trough all text fields of all items except for e-mails. E-mail is stored on an IMAP server and they are not searched with this system for performance reasons. You have to search for e-mail with the e-mail module itself.

Links

Group-Office has a links feature. You can link a lot of items to eachother. Most of the module have a “Links” button at the information pane or in a dialog. The following items are linkable:

E-mail, Read more about linking e-mail

Appointments

Tasks

Contacts

Companies

Projects

Invoices

Notes

Files

Users

To link one item to another take the following steps. Find the “Links” button for example go to:

Addressbook -> Contacts-> Select a contact.

The information panel on the right is loaded. And the “Links” button will become active. Click it to browse the links. From the link browser you can click at “Link” to add a new link. A search dialog will popup that allows you to search trough all linkable items in Group-Office. View the image “Linking items” for a screenshot of this process.

New menu

You can also create a new item from a linkable item with the “New menu”. Click at “New” from the information pane to see a submenu of items that will be linked to the contact instantly when you create it from there.

Exporting data

At various modules you’ll find an export button. This button will export what’s on screen to CSV or a PDF file. You can also e-mail the PDF or CSV file right away. If you tick the box “Export hidden fields too” you will have all the columns from the grid you are exporting in the CSV or PDF file. This is generally only useful for CSV files.

Exporting contacts to a PDF will result in this file for example:

Example contacts export

Reminders

Some modules support reminders like appointments, tasks, quotes and tickets. Those reminders will popup automatically when they are due.

Group-Office checks for those reminders every five minutes. A sound will be played too unless you have disabled that at the settings. When you close the popup with active reminders, a bell icon will remain at the top. The reminder popup won’t popup automatically anymore until you dismiss or snooze all your active reminders. You can open the popup by clicking the bell icon.

Reminders can be e-mailed to you too. You can enable this at:

Settings -> Look and feel

Note: A cron job needs to be setup for that on the server. If e-mail reminders don’t work it’s likely that this hasn’t been setup properly. Instructions to set it up can be found inside the file cron.php of the Group-Office application source files.

Setting up your Group-Office environment starts with setting up users, groups and permissions.

This page will give you an example of what we think is the perfect Group-Office setup for companies that want to take full advantage of all Group-Office features for office use.

The administrator account

It’s important that you use this account only for administrative purposes. We strongly advise you not to use this account as a regular user for safety and usability reasons. Basically use the administrator account only for:

Adding and editing user accounts

Adding and editing user groups

Installing/removing modules

Creating items that are commonly used for more users such as a global addressbook, shared calendars or a corporate HTML template for outgoing e-mail messages.
It’s very important that you do this as an administrator so you will avoid the following scenario:
User 1 creates an addressbook and projects. This user shares these items with everybody. Everybody uses those items. Now User 1 no longer works at your company. Time to remove the user account. Oops! The projects and his addressbook are gone too!

Create user groups

First create user groups for your company. Permissions are much easier to handle with groups then with individual users. When you grant the secretary access to all calendars as a user it will be a painful job to reset all permissions to another user when a new secretary joins the company. If you had done it with a group you could simply add the new employee to the secretary user group. So choose your groups wise with user permissions in mind. For example create:

A secretary group called “Secretary”

A group for the engineers called “Engineering”

A few special groups are created by default:

Admins, users of this group will have permission to everything. Usually you don’t want to add any user to this group. See above.

Everyone, all users are in this group. Use carefully when granting permissions to this group.

Internal, this group is created by default and new users are commonly added to this group by default. It should contain all company users and not your customers

Create users

Now that we’ve got the groups set up it’s time to add the users. You can do this at:

Start menu -> Users -> Add

Fill in the profile fields. Mandatory are First name, Last name, Username, Password and e-mail. Make sure you setup the right regional settings for the users. The timezone is particularly important because events will shift if you change this setting later on.

Permissions

Also pay attention to the “Permissions” tab. Remember that the default permissions can be set by the system administrator in the main configuration file (config.php).

Module permissions

You can also give user groups access to particular modules. This way you can manage module access easier. You’ll just have to add the new user to the right group. When a user has access to a module by a user group, the access checkbox will be greyed out. In most cases you should give users only “Usage” access to modules. The difference between Usage and Manage permissions on module are described in the table below:

Module

Extra privileges with manage permissions

Addressbook

Create addressbooks, change ownership of addressbooks

Calendar

Create calendars, change ownership of addressbooks, edit all events

Filesystem

No difference

Summary

Manage announcements on the right side of the screen

E-mail

Edit and add account settings

Projects

Adding projects

Notes

No difference

Billing

Create books

User groups and visible user groups

The second column controls the user groups the user is a member of. The last column controls which users groups are allowed to see this user. If you uncheck all users will never be able to share stuff with this user.

Manage permissions

Many items in Group-Office are protected with permissions. For example addressbooks, tasklists, calendars, Note categories, Billing books and project types have access control. When you setup permissions you can add user groups and users to the access control list. There are four different levels of permission:

Read only

Read and write

Read write and delete

Manage

With manage permission you are also allowed to control access and change the ownership of the item.

When you add a new user or group it has read permission by default. You can change the level by clicking it in the grid. See the screenshot below.

On this page we describe the basic concepts of Feng Office. Understanding these concepts is crucial for understanding the whole application, so make sure you read this page before the rest of the manual.

Types of information

There are many different types of information in Feng Office, for example:

Notes

E-mails

Contacts (addresses of people and of the companies/organisations they belong to)

Documents (i.e. word files, presentations, PDF files, images)

Tasks and milestones

Events

Web links

Time entries for tasks

Reports

When we are talking about these types of information we often refer to them as content objects or simply objects.

Commenting on objects

Many information types allow you to add a comment. This is the most simple way to communicate in Feng Office. Your comment will be attached to the content object, other users can read it (and reply, if they like). Comments in Feng Office work very much like comments in blogs.

Subscribing to objects

Subscribing to an object means that you will get an e-mail notification for every comment made on that specific object in the future. This is very handy if you want to observe a certain object or if you simply want to follow an ongoing discussion.

Linking objects

Information is often interdependent. For example, to fulfill a task you may need certain documents. Or you have a message that relates to a specific event. Feng Office makes it easy to show related information by linking content objects. Linking is a universal concept in Feng Office, you can link any type of content objects.

Searching

There is a full text search in Feng Office allowing you to search with in all information stored in your Feng Office installation, no matter what type. The results are presented in a way that you instantly know where they were found (what information type they are).

Organizing and filtering information

The more information you have, the more important are tools to organise your information. Feng Office offers two concepts for that purpose: workspaces and tagging. Workspaces are similar to folders, where you store your information in a hierarchical structure. Tags on the other hand help you to indicate that certain content objects belong to a certain topic. By filtering your information by workspace and/or by tag you will quickly find what you are looking for. Workspaces and tags are universal concepts of Feng Office as well, which means that you can use them regardless of the type of information you are dealing with.

Protecting information

Information you store in Feng Office is usually not public, and you often have some information that is more confidential than some other information. Therefore every user of Feng Office has an individual login, and every content object can be assigned to a limited group of users.

Creating reports

Feng Office offers a powerful reporting tool to create and store custom reports. Simply choose the object type plus the data fields (or columns) to display and add as many filters as needed to generate a list of your data that suits best your needs.

You may add a variety of different types of questions in the Quiz and Lesson modules. This page is about Quiz module question types, some will be similar to Lesson questions types, which are fewer in number and function differently. The standard quiz question types are listed below with brief descriptions.

Calculated

Calculated questions offer a way to create individual numerical questions by the use of wildcards that are substituted with individual values when the quiz is taken.

Description

This is not a real question. It simply prints some text (and possibly graphics) without requiring an answer. This can be used to provide some information to be used by a subsequent group of questions, for example.

Essay

In response to a question (that may include an image) the respondent writes an answer in essay format.

Matching

A list of sub-questions is provided, along with a list of answers. The respondent must “match” the correct answers with each question.
Embedded Answers (Cloze Test / Gap Fill)

These very flexible questions consist of a passage of text (in Moodle format) that has various answers embedded within it, including multiple choice, short answers and numerical answers.

Multiple Choice

In response to a question (that may include a image) the respondent chooses from multiple answers. There are two types of multiple choice questions – single answer and multiple answer.

Short Answer

In response to a question (that may include a image), the respondent types a word or phrase. There may several possible correct answers, with different grades. Answers may or may not be sensitive to case.

Numerical

From the student perspective, a numerical question looks just like a short-answer question. The difference is that numerical answers are allowed to have an accepted error. This allows a continuous range of answers to be set.

Random Short-Answer Matching

From the student perspective, this looks just like a Matching question. The difference is that the sub-questions are drawn randomly from Short Answer questions in the current category.

True/False

In response to a question (that may include a image), the respondent selects from two options: True or False.

Third-party question types

Besides the standard question types that are part of the core Moodle distribution, there are question type plugins contributed by the community.

Molecule design

The Java Molecular Editor question type allows you to ask students to design and submit a molecular structure.

Opaque

Opaque is a system for using questions from other systems that support the Opaque protocol within Moodle quizzes. This question type is the Moodle end of that bridge. It can be downloaded from http://moodle.org/mod/data/view.php?d=13&rid=798.

RQP

RQP was an earlier attempt to do the same thing that Opaque does, but as of Moodle 1.6 it did not work. It used to be in Moodle core, but in Moodle 1.9 it was moved to be a third-part question type. It is probably now only of historical interest.

Regular Expression Short Answer

Like the Short Answer question, the RegExp Short Answer question expects the student to answer an “open” question with a word or a short phrase. However, using so-called regular expressions gives you access to a more powerful system for analysing the student’s answers and thus providing more adapted feedback messages. The Regular Expression Short Answer question type is available for Moodle 1.6 from the Modules and plugins database.

This feature allows a teacher to create, preview, and edit questions in a database of question categories. The categories can be limited to being used on the site, course or quiz level. The questions in a category can be added to a Quiz or to a lesson activity via an export process. The teacher enters the question bank by creating or editing a quiz activity or through the Administration block.

The initial Question Bank page has tabs that allow you (as teacher) to edit questions, categories, import questions and export questions.

Select a category

Questions are organised into categories. Initially each course has only one category called “Default”. It is good practice to create more categories to organize your questions. This not only makes it easier to find questions, but makes the use of random questions and matching question easier. You can create a hierarchy of categories because you can create subcategories inside parent categories. To add or edit categories click on the “Categories” tab.

The question editing screen shows the questions from the currently selected category. You choose this category from the Category: drop-down menu. Using the tick box below that menu you determine whether to also show the questions from all subcategories.

Categories are shared in contexts since Moodle 1.9

Since Moodle 1.9 there are separate question category trees in each different ‘context’ in which questions are shared. The contexts available to you depend on whether you access the question bank from an activity or from a course and depend on the permissions assigned you for access to questions. See Question contexts for more information on these contexts.

Add a new question

Click the Questions tab to access the Question Bank page, if not there already.

From the Category drop-down menu, select a category you want to add a question to.

The page will change to show the questions already in that category

Select the question type you want to create from the Create new question drop-down menu.

Fill in the form for the question type you are creating. Each question type has its own form and has its own options.

Click Save Changes at the bottom of the form.

The first column in the list of questions contains a number of icons and a selection box.

Clicking on the Preview icon will open a preview window in which you can test the question. The Edit icon allows you to edit the question via the same form that you used to create it. The Delete icon deletes the question, provided it is not already in use in some activity. The selection box allows you to select a subset of questions that you can then move to another category using the controls below the list of questions.

Tips and tricks

Put the answer into the question name so you can quickly see the answers when students are asking for answers. This is especially useful if you’re dealing with large sets of questions! (No option yet for viewing category or answer of question in the list of questions.)

Export questions in GIFT or Moodle XML formats, then import them into a Lesson. (Future versions of Moodle will make Question bank available to both Lesson and Quiz activities.)

Remember that while some of the same question types can be found in both the Quiz and Lesson modules, they can be very different. Scoring and grading each student’s choice is more robust in a Quiz. On the other hand, each Lesson question answer also has a jump associated it.

Use GIFT or other export modes to print questions and answers in a category. Hint, clever use of word processor macros, using search and replace, can tidy up a GIFT file for printing.

The question title is useful in sorting and making notes. For example, “ZZ remove 2010-3 Why did the Moodler cross”, will put this question at the bottom of the list. Or where you want a the questions in a category to appear in a specific order, use letters or numbers, knowing that AA will come first, AB will be second in the list.

Do a copy and paste from a PDF file into the question content area. Reduces “other” hidden code which Word, Open Office and other programs can insert.

The Quiz activity module allows the teacher to design and set quizzes consisting of a large variety of Question types, including multiple choice, true-false, and short answer questions. These questions are kept in the Question bank and can be re-used in multiple quizzes. Quizzes can be configured to allow multiple attempts. Each attempt is automatically marked, and the teacher can choose whether to give feedback and/or show the correct answers.
